Terms of use

The short version. Everything you upload is read by AI — every frame, and the audio if there is any — so that it can be searched. That is not an optional extra; it is what the product is. You can switch it off per workspace in Settings, and then the file is stored and nothing else.

1. Your files are processed by AI

When you upload a file, Asset House automatically does the following, without asking again each time:

  • samples still frames from across the file, including every page of a document;
  • extracts the audio track and transcribes any speech in it;
  • sends those frames and that transcript to third-party AI providers — currently Anthropic (Claude, for understanding the content) and Groq (Whisper, for speech) — to generate a description, tags, on-screen text, key moments and search terms;
  • stores that generated metadata alongside the file and uses it to power search.

The generated metadata is derived from your content and belongs to you along with the file itself. We do not use your files or the metadata to train any model, and our providers are used under terms that do not permit training on submitted content.

2. Turning it off

Settings → AI parsing switches processing off for everything uploaded afterwards. With it off, files are stored and served and nothing is sent to any AI provider — which also means search will only match the filename, and the product is substantially less useful. Switching it off does not delete metadata already generated; there is a separate control to clear that.

3. What not to upload

Files are stored on a public-read storage bucket: anyone holding the URL can fetch the object. Share links add revocation and expiry on top, but the underlying object URL is not secret. Do not upload anything genuinely confidential — customer personal data, credentials, contracts, health or financial records, or anything you are contractually obliged to keep private. This is a marketing asset library, and it should hold marketing assets.

You confirm you have the right to upload what you upload, and to have it processed as described above — including where the file contains other people, such as footage of clients, colleagues or members of the public.

4. Sharing

A share link is a capability: whoever holds it can view the asset without an account. We record when a link is opened — a timestamp, an approximate country, a device type, and a salted hash used only to tell repeat visits apart. We do not store the viewer's IP address. You can revoke any link at any time.

5. Availability and liability

Asset House is provided as-is while in beta. We take backups, but you should not treat this as the only copy of anything you care about. We are not liable for loss arising from use of the service beyond what the law requires of us.

6. Deleting your data

You can delete any asset, which removes the file, its metadata and its share links. To have an entire workspace removed, email us and we will do it within 30 days.
